Job Description:
  • Provide day to day secretarial support to the Manager and the department
  • Support the Manager in the Management of his schedule, advise him of matters needing his urgent attention and support him in keeping to his agreed schedule.
  • Receive and provide adequate reception to the Manager’s visitors.
  • Facilitate travel and logistic arrangements for the Manager and official visitors.
  • Maintain an efficient filing and retrieval system for documents.
  • Attend and record Minutes of Meetings and ensure timely circulation of the minutes.
  • Handle all stationery requisition as well as make and follow up with request for IT items.
  • Coordinate the activities of the various sections of the Department through the Unit Administrators to align with the Manager’s requirements and expectations.
Qualifications and Requirements:
  • A degree in Business Administration obtained at a minimum of second class lower division or HND in Secretarial Studies or related discipline with a minimum of Upper credit.
  • 3 years post-graduation work experience in a similar position in a reputable organisation.

Adminstrative Support

Job Description:
  • Perform all administrative support duties as may be required for the Unit.
  • Ensure hygienic, safe and conducive environment for the Unit.
  • Raise job request and follow up until job is successfully executed.
  • Record keeping and update of files.
  • Collate and prepare weekly, monthly and annual reports.
  • Raise Material Requests, call-off and load invoices into SAP
Qualification and Requirement:
  • A University degree from a National Universities Commission (NUC) recognised University obtained at a minimum of second class lower division or HND from a National Board for Technical Education NABTECH) recognised Polytechnic obtained with a minimum of upper credit.
  • 3 years post-graduation work experience in a similar position in a reputable organisation.

Document Controller

Job Specifications:

Job Description:
  • Receipt, registration and storing of documents in the Company’s electronic document management system.
  • Retrieval and issuing document for updates. Controlling issue and return of such documents and ensuring updated documents are clearly identifiable and that only latest versions of documents are available to users.
  • Maintain and file (where necessary) hard copies of documents and replace outdated hardcopy documents with latest updates.
  • Make recommendations and proposal for creations, review and update of procedures for registration and control of documents.
  • Ensure that the integrity and confidentiality of relevant documentation is carefully controlled.
Qualification and Requirement:
  • A University degree from a National Universities Commission (NUC) recognised University obtained at a minimum of second class lower division or HND from a National Board for Technical Education (NABTECH) recognised Polytechnic obtained with a minimum of upper credit.
  • 3 years post-graduation experience, 1 of which should have been in Project Engineering/Document Control in the oil and gas industry.

Helpdesk Support

Job Description:
  • Coordinate operations and supervise staff of helpdesk.
  • Receive customers’ requests via phone or email, record and route to appropriate service provider.
  • Follow up on customer requests, provide feedback as required and close out upon completion.
  • Manage database of customer requests, complaints etc.
  • Benchmark performance of service providers against Service Level Agreement and generate reports as required.
  • Attend to all customer enquiries on issues and direct to appropriate service provider when necessary.
  • Collate relevant information from various sections and prepare prompt weekly and monthly reports.

  • Provide efficient and effective administrative support to all sections of the department.

Contract Manager

Job Description:
  • The Contractor shall provide a Contract Manager to be responsible for all aspects of the Contract and who shall be fully qualified academically and sufficiently experienced to proficiently plan and manage the provision of all the required services and to liaise with the Company. The Contract Manager shall have a good overall knowledge of Service Contract Management HR practice, policies and procedures.
  • The Contract Manager shall ensure adequate manning of all positions enlisted in appendix 1.
  • The contract Manager shall ensure that personnel employed to render the services possess the requisite qualifications/experience and are adequately trained and motivated to cope with changing technology to effectively carry out the required service.
  • The Contractor shall ensure that the Contract Manager is able to allocate sufficient time to the contract, to ensure that personnel comply with Company rules and regulations and where necessary disciplinary measures are carried out.
  • The contractor shall be required to submit detailed Curriculum Vitae for the Contract Manager prior to the commencement of the contract for approval by the Business Owner. This shall also be applicable for leave relief personnel.
  • The Company reserves the right to test the competence of Contract Manager and other personnel deployed or proposed to be deployed on this contract. Any personnel not displaying the correct level of competence, in the opinion o f the Business Owner, shall not be approved to work on the contract.
  • The Contractor shall notify the Company in writing prior to the removal of the Contract Manager together with detailed notification, including full CVs of any proposed replacement personnel, giving adequate notice (minimum one month) for an effect hand over. No such removal or replacement shall be carried out without the written approval of the Company.
  • The Contractor shall provide all other personnel required to carry out the services described in the Scope of Work, including all relief personnel. All personnel shall be trained and experienced in the duties for which they are employed.
  • The Contractor shall be required to maintain adequate and competent replacement personnel during periods of leave, sickness or any other reason of absence. Any additional cost incurred shall be deemed to have been included in the contract rates.
Qualification and Requirement:
  • The Contract Manager shall as minimum possess a BSc/HND or equivalent qualification in relevant discipline and have at least 7 years’ experience in HR practice, 5 years of which shall be in a similar or equivalent position. Also, he shall possess an HR certification from a recognised professional body.
  • 3 years post-graduation experience in a reputable organisation
